How to run an assessment with a client

Create an assessment instance from a type, send it to respondents, review scored results and recommendations, add consultant notes, and mark it complete.

Open in SPLX OS

The Assessment module is how Bayou & Co. diagnoses a new client before a single recommendation is made. Priya selects the right assessment type — operational readiness, financial health, or team alignment — creates an instance for that client, sends a link to the respondents, and gets scored results with weighted pillar breakdowns within 48 hours. The data sits in SPLX OS tied to the engagement, not lost in a spreadsheet.

This guide covers the assessment flow from the consultant's side: creating an instance, sending it to respondents, reading scores, adding notes, and closing it out.

Before you start

  • You need admin, owner, or advisor role to create assessment instances and view results.
  • Assessment types are platform-managed and always available — no module toggle is required.
  • If you want to link an assessment to an engagement, open the engagement first and launch the assessment from there (see How to manage an engagement lifecycle).

Step 1: Open the assessments list

Navigate to Assessment → Assessments (/assessment/list) in the left sidebar. The list shows all assessment instances in your workspace with their type, status, and respondent count.

Step 2: Choose an assessment type

Click New assessment in the top-right corner. A dialog opens with a dropdown of available assessment types. Each type shows its name, description, and question count.

Select the type that fits the engagement — for example, "8-Pillar Operational Readiness" for a new operational consulting client. Click Create assessment.

If you do not see a type you expect, go to Assessment → Types (/assessment/types) to review what types are available to your workspace. Types are platform-managed; contact your platform administrator to add new types.

Step 3: Fill in instance details

After creation, the assessment detail page opens. Fill in:

Field Notes
Name A label for this specific instance — for example, "Northwoods Outfitters — Q3 2026"
Client / linked contact Link a CRM contact or company for traceability
Due date Optional target date for respondent submissions
Notes to respondents Instructions that appear at the top of the guest response form

Click Save after editing.

Step 4: Add respondents and send

On the assessment detail page, find the Respondents section. Click Add respondent.

Enter the respondent's name and email address. For each respondent, the system generates a unique response link. Click Copy link next to a respondent's row and share it by email or messaging — you do not need to use SPLX OS to deliver the link.

Respondents open the link in a browser with no login required. Their progress saves automatically. You can see their status in the Respondents section: Pending, In progress, or Submitted.

Mei Lin at Bayou & Co. adds 3–5 respondents per assessment — the CEO, COO, and one or two department heads — to get a cross-functional picture rather than a single point of view.

Step 5: Review scores and recommendations

Once at least one respondent has submitted, the Results tab becomes active on the assessment detail page.

The results view shows:

  • Overall score — a weighted aggregate across all pillars, shown as a percentage
  • Pillar breakdown — each pillar's score with a color band: below 40% in danger, 40–69% in warning, 70% and above in brand green
  • Recommendations — the platform type includes pre-written recommendations that surface automatically based on low-scoring pillars. These appear in the Recommendations section and are grouped by pillar.
  • Individual respondent scores — expand any respondent row to see their pillar scores separately from the aggregate

If multiple respondents have submitted, scores are averaged across all submitted responses. Pending respondents are excluded from the calculation until they submit.

Step 6: Add consultant notes

The Consultant notes section on the assessment detail page is private — visible only to workspace members with admin-level or advisor access, not to guests.

Click Add note to open a text editor. Write your interpretation of the results, the patterns you see across pillars, and any caveats. Notes support basic formatting (bold, bullets, headings).

Priya writes a one-paragraph narrative per pillar that scored below 60%, then a short synthesis tying the low-scoring pillars together. This becomes the first draft of the discovery report she presents to the client.

Step 7: Mark the assessment complete

When all expected respondents have submitted and you have reviewed the results, click Mark complete on the assessment detail page. The status changes to Completed and the assessment moves to the completed filter on the list view.

Completed assessments are read-only. If you need to reopen one — for example, a late respondent — click Reopen to return it to In progress status.
