What to expect from guided onboarding

A plain-language overview of a guided onboarding: who does what, the 30, 60, and 90-day milestones, and what to prepare before kickoff.

Open in SPLX OS

In a guided onboarding, an SPLX onboarding specialist works alongside your leadership team for roughly 90 days so that your workspace becomes part of how you run the business, not a tool that sits unused. This page explains what happens, who does what, and how to prepare. Guided onboarding is booked through a call with the SPLX team. If you would rather set everything up on your own, start with Set up your workspace from scratch.

The one goal that drives the plan

The main measure of progress is how many days pass between creating your workspace and holding your first full weekly meeting in SPLX OS, with your Scorecard numbers and Quarterly Priorities in front of the team. The first month is organized around making that number small.

The order we roll out in

  1. Leadership team first. You and the people who sit in your weekly meeting.
  2. First weekly meetings. Your leadership team runs several meetings in a row, with the specialist leading at first and then stepping back.
  3. Departments. One department at a time, each with its own meeting rhythm, numbers, and procedures.

Who does what

Your specialist You and your team
Runs a discovery call and the kickoff session Join the kickoff, including the person who decides whether to continue
Recommends which modules to turn on Turn them on in Settings → Modules (owners and admins only)
Guides your Quarterly Priorities and Scorecard workshops Decide the priorities, the numbers, and who owns each
Facilitates your first weekly meetings, then coaches your facilitator Pick a facilitator and attend the meeting every week
Helps you bring in contacts and metric history from spreadsheets Provide the exports and confirm they are accurate
Helps draft your first procedures Own them: review, publish, and keep them current
Checks progress against the milestones below Keep entering your own check-ins, statuses, and issues

Your specialist works in your workspace with broad permission to create and edit, but cannot invite or remove members, change roles, change which modules are enabled, set your CRM mode, or rename terminology — those few steps stay with you, and your specialist will walk you through them. While a specialist is on your workspace, the Getting Started checklist marks those steps "Do this with your specialist". Everything they do is recorded in Settings → Audit log, which your owner and admins can read at any time.

The milestones

By day 30: your leadership team is running on it.

  • Everyone on the leadership team has signed in.
  • Your Quarterly Priorities are set, each with an owner.
  • Your Scorecard has at least five numbers with owners and some history.
  • You have held at least one full weekly meeting.

By day 60: the weekly habit holds.

  • You have held about six weekly meetings, and your own team has been running the last few.
  • Scorecard numbers are entered each week by the people who own them.
  • Your first few procedures are written, published, and used.
  • One department has started a daily Stand Up.

By day 90: you can run it without us.

  • Each department in the plan has a rhythm in use.
  • You have reviewed the quarter and written the next set of priorities yourselves.
  • At least five procedures are published, each with an owner and a review date.
  • An admin on your side can invite people, change roles, and read the audit log.
  • We review together whether the success definition from the start has been met.

If a milestone is missed, the plan slows down on purpose. Adding more features to a team that has not yet built the weekly habit does not help.

What to prepare before kickoff

  • A goal. One sentence: at day 90, what would make this worth it?
  • Your leadership team's names and emails, and the role each should have. Invitations are sent from Settings → Team.
  • Your org structure: departments and who leads each.
  • A draft of your numbers: five to eight figures your leadership team wants to see every week, who produces them, and where the last few months of values live.
  • Your client or customer list as a spreadsheet, with first name, last name, email, company, phone, and title columns (up to 500 rows per import; email is required and duplicates are skipped).
  • Your most important procedures: a list of 5–10 things that go wrong when someone does them without guidance, plus any existing documents.
  • A weekly meeting slot, already protected on the calendars of your leadership team.

After the 90 days

You keep your workspace, your history, and the Help Center. Start with Owner: your first week and Admin: your first week, and use the Getting Started checklist on your Dashboard to see what is left. New hires can follow How to invite and onboard a new employee.
