Pre-meeting agenda entries let any team member flag a topic for discussion before the session starts. The facilitator sees all pending submissions in a dedicated Pending topics pane when they open the session. This keeps meetings focused — instead of topics surfacing mid-meeting, the facilitator knows what's coming and can allocate time accordingly.
This feature works on recurring series only. One-off Team Sync sessions do not have a pending pool.
Who can submit
Any user with the rhythm.series.submit-entry permission (contributor, advisor, admin, or owner role by default — not viewer) can submit entries for a series they can see.
Step 1: Open the series session
Navigate to Rhythm → Team Sync and find the upcoming session for your series. Click into it. If the session belongs to a series, you'll see a Submit topic for next session card in the series detail section of the page.
Step 2: Choose a segment
Use the Segment dropdown to route your topic to the right part of the agenda — for example, Problem solving for a blocker you need the group to work through, or Updates for a status item. The available segments match the series' agenda template.
Step 3: Write your topic
Type a brief description in the Topic field. Keep it to one or two sentences — the facilitator uses this as a prompt, not a full brief. Press Cmd+Enter (or Ctrl+Enter) to submit quickly, or click Submit.
A success toast confirms the submission. Your entry appears immediately in the Your pending submissions list below the form.
What happens next
All pending submissions for the series appear in the Pending topics pane at the top of the session detail page, visible to the facilitator and anyone with access to the session. The facilitator can:
- Click Attach to agenda to pull an entry into the relevant segment's agenda entries, so it becomes part of the live meeting record.
- Click Dismiss to remove it without attaching it.
Once attached, the entry is consumed and moves out of the pending pool.
What happens if a session is cancelled or skipped
If the session is cancelled or skipped before the facilitator attaches your entry, it returns to the pending pool automatically. It will appear again in the Pending topics pane for the next session in the series. You do not need to resubmit it.
Managing your own submissions
In the Your pending submissions list you can delete any entry you submitted before it is attached to a session. After attachment, only the facilitator can remove it from the agenda.
