How to facilitate a core-values workshop with QR sharing

Run a live values workshop from Strategy → Vision, Mission, Values: share a QR code with participants, collect submissions, refine and vote, then promote the results to your final values list.

Open in SPLX OS

Defining values in a room full of people is hard. The workshop mode lets participants submit their own values ideas from their phones while the facilitator controls the flow on screen. Priya, the CEO at Northwoods Outfitters, runs a 60-minute session with her leadership team every two years: 15 minutes on submissions, 20 on refinement, 10 on voting, 15 on discussion. The output goes straight into their published values the same afternoon.

Before you start

  • The Strategy module must be enabled (Settings → Modules → Strategy).
  • You need admin or owner role to facilitate and publish values.
  • Participants do not need a SPLX OS account — they access the submission form via QR code or shared link.

Navigate to Strategy → Vision, Mission, Values in the sidebar.

Step 1: Open the workshop

Scroll to the Values section and click Run workshop. The workshop page opens and shows a QR code and a shareable link.

Display the QR code on a screen or projector so participants can scan it on their phones. Alternatively, paste the link into a chat channel or email. Once scanned, the participant sees a simple submission form.

Step 2: Collect submissions

The submission form asks participants to enter one or more values they believe the organization embodies. Each submission shows up in real time in the facilitator's view as a card in the Submissions column.

Watch submissions arrive. Let the room settle — typically 5–10 minutes is enough for a group of 8–15. When the flow slows, click Close submissions to stop accepting new entries. The QR code and link stop working immediately.

Step 3: Refine submissions

With submissions closed, the facilitator's view shows all entries as moveable cards. Work through them as a group:

  • Merge duplicates: drag one card onto another to combine them. The merged card shows the combined participant count.
  • Rename: click any card's title to edit it. Use language the team actually uses, not corporate-speak.
  • Delete: hover over a card and click the trash icon to remove a submission that doesn't belong.

This step is a discussion, not a solo edit. Mei Lin facilitates this by reading each submission aloud and asking "does this belong?" before deciding.

Step 4: Vote

When the refined list looks right, click Open voting. Each participant's QR link activates again — this time showing the refined list with a set of vote tokens (typically 3 votes per participant).

Participants tap cards to allocate their votes. They cannot vote more times than their token count. Votes appear as live counts on the facilitator's screen.

Click Close voting when participation looks complete. Vote counts are locked.

Step 5: Review results and promote to final values

The refined list is now sorted by vote count. Review the top values with the group — high vote count is signal, not law. Discuss whether any lower-voted values should still be included based on the conversation.

For each value you want to keep, click Promote to values. The value is created in the core values list with the submitted name as its title. You can add definitions and behavioral examples afterward via the standard values editor (see How to define your company's core values).

Values that are not promoted stay in the workshop record. They are not added to the published values list.

Step 6: Close the workshop

Click End workshop to archive the session. The QR link stops working. A record of submissions, merged cards, and vote counts is saved for audit purposes.

Navigate to Strategy → Vision, Mission, Values → Values to see the newly promoted values in the list. Edit them to add definitions and examples before publishing.
