How to apply a template to your workspace

Browse available module templates, apply one to pre-populate your workspace with starter content, and understand idempotent behavior when a template is applied a second time.

Open in SPLX OS

When Bayou & Co. set up their med-spa workspace, the Strategy module was blank. Rather than building every metric and goal from scratch, their admin opened the Strategy module's templates, applied the "Med Spa Strategic Plan", and had three annual goals, four quarterly priorities, and five scorecard metrics in under 30 seconds. They renamed them to match their business and were planning their first quarterly review the same afternoon.

Templates are pre-built content bundles that give a module a working configuration you can adapt — meetings, SOPs, a plan, team structure, or a budget, depending on the industry and module. During workspace setup, Describe your company can suggest templates alongside modules, focus, priorities, scorecard metrics (you supply weekly targets), and meetings. Nothing in that suggestion is saved until Apply selected. If you choose Skip, I'll set it up myself, the standard flow offers Want a head start? when an industry bundle is available. Applying AI suggestions skips that step. Its button currently says Add sample data, but applies starter templates. Templates are also available on the Starter templates card at the top of Settings → Modules, and each module's own Templates page. This guide covers applying, removing, and what happens after an apply.

Before you start

  • Applying a template needs the module's template.apply permission (for example strategy.template.apply), which owners, admins, and advisors hold by default. The Starter templates card on the Modules page is only actionable for people who can toggle modules.
  • Templates are idempotent — applying the same template twice creates no duplicates. If you apply a template and then apply it again, SPLX OS skips rows that already exist and reports "Template already applied — nothing new to create."
  • Templates are filtered by your workspace's Industry (set during setup and editable in Settings → General). A few industries, such as Med Spa & Wellness and Dental Practice, have full starter bundles across several modules; every industry that is set is offered a general-purpose set (deal review and risk review SOPs, a weekly operations meeting series, an operating-values set, and more). If you skipped the industry question, no templates are offered until you set one. Templates only apply to modules that are enabled and available for your workspace.
  • CRM templates preserve your CRM mode. Contacts-pipeline templates are skipped in B2B mode and require B2C or Both.

Option A: Apply starter templates across several modules at once

Go to Settings → Modules. The Starter templates for [your industry] card at the top lists, for each module that has templates, the template names as badges. Tick the modules you want, click Apply selected templates, and confirm Apply in the dialog. Results are listed on the card as "[template]: N created, M skipped", and a toast confirms "Starter templates applied for [industry]". This is the same bundle offered at the end of workspace setup.

If the card says "No industry set for this workspace", use its link to Set an industry in General Settings first. A module that is not enabled, or one you lack permission to apply, is listed underneath with the reason it was skipped.

To undo, click Remove starter templates on the same card. The dialog lists exactly what will go. It removes every template-marked row in the selected modules — including rows you have since edited — while data you created yourself stays. Templates applied before tracking was introduced cannot be identified and remain.

Option B: Apply one template from a module's Templates page

Navigate to Settings → Modules, click Settings on the module's row (modules without their own configuration don't show this link — use the empty-state button described below), and click View templates in its Templates section. This opens Settings → Modules → [Module name] → Templates. On any module list page that is completely empty, owners, admins, and advisors also see an Apply a template button that goes straight to the same page.

Each template card displays:

  • The template name
  • A short description of what it creates

If the module has no templates matching your workspace type, the page shows No templates available. If the module is switched off, the cards show "Module disabled" instead of Apply.

Step 2: Read the description

Before applying, read the description to understand what the template creates. The Med Spa strategy template creates 3 annual goals, 4 quarterly priorities, and 5 scorecard metrics without any snapshot data. The Med Spa CRM template creates a "Membership conversion" contact pipeline with four stages (Prospect, Interested, Trial Month, Member). A process template creates an SOP with its steps already filled in and published.

Templates do not create user accounts — they add data rows within the module. Because some of that data counts toward your dashboard's Getting started checklist (a project, a quarterly priority, or a scorecard metric), those items may already show as done after you apply a template.

Step 3: Apply the template

Click Apply on the template card you want to use. While the template runs, the button displays Applying… and is disabled.

After a successful apply, a toast reports the number of items created — for example, "Template applied — 14 items created."

Navigate to the relevant module to see the seeded content. The content is immediately editable — nothing is locked or read-only.

Step 4: Adapt the content

Template content is a starting point, not a finished configuration. Common next steps after applying a template:

  • Strategy templates — rename the default goals, priorities, and metrics to match your actual business. Update target values and assign an owner to each metric.
  • CRM templates — the pipeline stage structure usually requires little editing; then add your real contacts.
  • Process templates — review the default steps and assign team members or seats to each step.
  • Execution templates — rename the sample projects and milestones, then add members, tasks, due dates, and priorities.
  • People templates — adjust the starter departments and seats, then assign people to the seats.

What happens on a second apply

If you apply a template you have already applied, SPLX OS checks each item in the template against existing data using a unique seed key. Items that already exist are skipped. Items that are new (if the template has been updated by the platform) are created.

On a module's Templates page, the toast after a second apply shows "Template already applied — nothing new to create." if everything already exists. This means you can safely click Apply again without worrying about duplicates.
