How to use the capability matrix and training reports

Track who holds which capabilities at what proficiency level, spot expiry risks, and review completion rates across your team.

Open in SPLX OS

Bayou & Co. runs a field team of 23 technicians, each required to hold certifications across 9 regulatory capabilities. Their operations manager Mei Lin uses the capability matrix to see the full picture at a glance — who holds what, which holdings expire this quarter, and which capabilities have dangerously low coverage. When two certifications drop below 47% team coverage she re-assigns the relevant course before the audit date.

This guide covers the capability matrix, how to grant and extend holdings, and what the training reports surface.

Before you start

  • The Capability matrix requires the training.capability-holdings.manage permission to grant, edit, or revoke holdings. Admins and owners have this by default.
  • Capabilities must exist before the matrix can be populated. Go to Training → Capabilities to create capability definitions first.
  • People must have profiles in the People directory — the matrix rows are built from employee profiles, not just workspace accounts.

Step 1: Open the capability matrix

Navigate to Training → Capability matrix (/training/capabilities/matrix). The matrix is a grid with capabilities as rows and team members as columns.

Each cell shows one of three states:

  • Empty (dashed border) — the person does not hold this capability.
  • Filled (sage background) — the person holds the capability with a level badge: Trained, Proficient, or Expert.
  • Warning (amber background) — the person holds the capability but it expires within 30 days; the cell shows the remaining day count.

Step 2: Filter the matrix

On large teams, the full matrix can be wide. Use the filter bar above the grid to narrow it:

  • Click a capability name chip to show only that capability's row.
  • Click a person's name chip to show only that person's column.
  • Multiple selections narrow further — "show Priya and Diego, only the Hazmat and First Aid capabilities."
  • Click Clear filters to return to the full view.

Step 3: Grant a holding

Click any empty cell to open the Grant holding dialog. Select a proficiency level:

Level Meaning
Trained Has completed the basic training requirement
Proficient Demonstrates applied competency in the role
Expert Can train others; leads the practice

Optionally set an Expires on date. If the capability has a built-in expiry (set when the capability was created), the date field pre-fills to today plus that window. Leave blank for no expiry.

Click Grant to record the holding. The cell updates immediately with the level badge.

Step 4: Edit or revoke a holding

Click any filled cell to open the Manage holding dialog. Two options appear:

  • Extend / edit — adjust the proficiency level or push the expiry date forward. Bayou & Co. does this after an annual recertification — Mei Lin clicks the cell, changes the expiry to 12 months from today, and saves.
  • Revoke — removes the holding entirely. Optionally enter a reason (e.g. "Role change — no longer required"). The cell returns to the empty dashed state.

Step 5: Review training reports

Navigate to Training → Reports (/training/reports) for three analytics tables:

Completion rate by course. Each active course shows the number of total assignments, how many are completed, the completion rate, and the average quiz score. Rates below 50% appear highlighted in danger color; rates between 50–79% in warning. Bayou & Co. targets a completion rate of 83% on their compliance courses before any quarterly inspection.

Skills coverage. Each capability shows how many team members hold it and what percentage of the active team that represents. The fourth column flags how many holdings expire within 30 days — a non-zero number here means someone needs a recertification soon.

Expiring in the next 30 days. A flat list of every person-capability pair with an upcoming expiry, sorted by days remaining. Holdings expiring in 7 days or fewer are highlighted in danger color. Use this to plan assignment dispatch before the expiry date.

Tips

  • The reports page is admin-visible only. Members who open /training/reports directly see an access-restricted message.
  • A holding does not require a completed course assignment — you can grant a holding manually (e.g. for a certification earned before SPLX OS was adopted) without needing an assignment record to exist.
  • To drive holdings from course completions automatically, link a course to a capability: open the course, click Edit metadata, and enter the capability's ID in the Capability ID field. When an employee completes that course, a Trained-level holding is granted automatically.
  • A capability with 0% coverage is not shown in the skills coverage table until at least one holding exists. If you expect to see a capability and it's absent, verify that at least one person has a holding — or check that the capability is visible in the filter chips on the matrix.
