Mei Lin joined Northwoods Outfitters as a field operations coordinator. On her first day she accepted her invitation, found her assigned tasks, submitted an idea for a process improvement, RSVPed to the weekly leadership sync, and filled out a quarterly check-in. Here is how to do the same.
Accepting your invitation and signing in
You received an email invitation from your workspace. Click the link in the email to create your account (or sign in if you already have one). The link is good for 48 hours — if it has lapsed, ask your admin to send a new invitation. If you already have an account and open SPLX OS without using the link, any pending invitations appear at the top of the setup page with an Accept button; use that rather than creating a new workspace of your own.
After signing in you land on the dashboard, which shows your workspace at a glance. The first time, a Welcome window introduces the workspace and your role; choose Take the 60-second tour for a short walkthrough of the sidebar, search, notifications, and help, or Skip tour. You can replay the tour later from the Help menu in the top bar. A Getting started card on the dashboard lists a few first steps; it only shows the ones your role can act on, and you can dismiss it with the X.
If you have been invited to more than one workspace (for example, you are a member of multiple SPLX OS organizations), a workspace switcher appears at the top of the left sidebar. Click it to switch between workspaces.
Getting oriented in the sidebar
The left sidebar is your home. The top section shows the modules your workspace has enabled. Common ones you will see:
- Execution — projects, tasks, ideas, problems
- Strategy — scorecard, goals, vision
- Rhythm — stand-up boards and team meetings
- CRM — contacts, deals, pipelines (if your team uses it)
- People — directory and org chart
- Process — standard operating procedures
The exact set depends on what your admin has turned on. If you expect a module and do not see it, ask your admin to enable it. My Day, just under Dashboard, collects what needs you today — items needing your attention, approvals waiting on you, process runs, and any scorecard metrics you owe an update on.
Finding your work (~5 minutes)
Your tasks live at Execution → Tasks. The default view shows all tasks that are To Do, In Progress, or In Review. Use the Owner filter chip to narrow to tasks assigned to you.
Projects you are a member of appear at Execution → Projects. If you cannot see a project, you may not have been added to it — ask a project owner or your admin to add you.
Ideas at Execution → Ideas are visible to everyone in the workspace, not just project members.
Submitting your first idea (~3 minutes)
Anyone on the team can submit ideas. Go to Execution → Ideas and click + New idea.
Fill in:
- Title — be specific: "Add pre-shift safety briefing checklist to onboarding process" is more useful than "safety checklist"
- Description — optional context, background, or the problem you are solving
- Level — Company, Department, or Meeting (how broadly this applies)
- Priority — Normal (default) or High
Click Create idea. It appears in the list with status "Submitted" and can be upvoted by teammates. An admin will review it and update the status.
Upvoting ideas
In the Ideas list, click the triangle (▲) next to any idea you support. Click again to remove your vote. Vote counts are visible to everyone and help admins prioritize what to review first.
Adding a task to a project (~3 minutes)
If you are a member of a project with the Member or Owner role (not Viewer), you can create tasks within it. Navigate to the project, click the + button next to a milestone or in the task list, and fill in the task title. Set a priority, assign it to someone, and pick a due date if it is time-sensitive. If you can't add a task, ask a project owner to add you to the project.
Standalone tasks (not in a project) are created from Execution → Tasks → New task, and that button only appears for owners, admins, and advisors — contributors always create tasks inside a project.
RSVPing to a team sync
Team meetings created in Rhythm show up at Rhythm → Team Sync. Open any upcoming meeting to see its agenda, participants, and scheduled time. Your admin or facilitator adds participants to each session — if they add you, you will appear on the participant list. For a recurring series you can also submit topics ahead of time so the facilitator sees them before the meeting starts; see How to submit pre-meeting agenda entries.
Participating in a stand-up (~2 minutes)
Go to Rhythm → Stand Up and open your team's board. Each column (Safety, Quality, Delivery, Cost) shows open issues.
To add a new issue, click the + at the bottom of any column, type the title, and choose a severity: green (informational), yellow (watch), or red (action required). Press Enter or click the button to create it.
Click any issue card to open the detail panel where you can update the title, description, severity, status, or add a due date and owner.
Filling out your check-in
If your admin uses the People module for periodic check-ins, navigate to People → Directory and open your own profile card. Click the Check-ins tab, then click + New check-in.
Choose the quarter, add a reviewer (usually your manager — select them from the dropdown), and fill in the optional fields:
- What went well
- Areas for improvement
- Goals
- Rating (the scale is set by your workspace; 1–5 by default)
Click Create. Your reviewer, owners, and admins can see your check-ins; other members cannot.
Editing your profile
The directory lists workspace members, including virtual "unlinked" entries for members without a stored profile. An unlinked entry is not a saved employee profile. Click your name or avatar in the sidebar to open your profile, or navigate to People → Directory and find your card.
Use Edit profile to update your title, bio, phone number, and skills. Your admin manages your department and start date.
Running a process
If your workspace uses the Process module and you have been assigned a run step, go to Process → Runs and look for runs with your name in the "Assigned to me" filter. Open the run, expand any step assigned to you, fill in the required fields, and click Complete step.
You can also start a run yourself from any active process in Process → Library. Open the process and click Start run.
Getting help
The Help button (the question-mark icon in the top bar) opens a menu with Help & guides, Re-run product tour, and Send feedback; Help & Guides is also in the sidebar. Questions submitted through feedback are routed to your workspace's assigned advisors, or to the SPLX team if none is assigned. Use it any time you are unsure what a feature does or how to complete a task.
